What AutoRoster does
Three ways to take control of your workforce.
Rostering, attendance and labour costs are often managed across separate processes, systems and teams. AutoRoster connects them into one continuous workforce management process — giving management greater visibility, control and confidence from roster creation through to payroll.
AI-powered rostering
Build compliant, optimised rosters in minutes. Define site requirements, employee grades, working rules, leave and standby requirements — and let AutoRoster generate a complete roster while identifying conflicts and coverage gaps.
Business impact. Reduce rostering time, improve coverage and gain greater control over labour deployment.
Attendance data comes from many sources — biometric systems, mobile clock-ins, digital registers, operational reports, SMS, WhatsApp and email. AutoRoster brings it together, compares actual attendance against the roster, and highlights exceptions before they become payroll or cost issues.
Business impact. Give Payroll and Operations one reliable view of attendance before every pay run — improving accuracy, reducing manual checks and preventing costly payroll errors.
Know the financial impact of every roster before the month is over. AutoRoster compares wage costs, overtime and allowances against contract value — giving management visibility into projected labour costs and margins by site, client and branch.
Business impact. Identify cost pressures early, protect margins and take informed corrective action before the month closes — not after the costs have been incurred.
From operational complexity to a verified, optimised roster.
01
Centralise core data
Import your organisation, sites, personnel, skills and grade tiers and pay rules from existing databases or spreadsheets. Full operational context is preserved on the way in.
02
Automated optimisation
Configure coverage demands and site-specific rules. AutoRoster builds the entire multi-week roster instantly, with a clear reason recorded for every assignment and every constraint it applied.
03
Multi-channel capture
Attendance flows in from biometric terminals, mobile check-ins or supervisor logs. Rule breaches and operational exceptions are flagged instantly; compliant variances reconcile in the background.
04
Audit-ready execution
Pay is calculated directly from actual hours under the active compliance rules. Finalised datasets sync to payroll while live gross-margin analytics report by site, client and branch.
Migration
Preserve your operational history. Migrate without disruption.
Moving to a new platform should never mean abandoning your records or running two systems for months. AutoRoster handles full database extractions from your existing rostering system directly — personnel, site mapping, shift rotations, pay rules and complete attendance history — and we run reconciliation checks with your team before go-live.
Your history of shifts worked and pay models is a corporate asset. Our onboarding guarantees it stays intact, secure and accessible.
If you have a scheduling requirement not covered here, include it with your demo request. We will review it and give you a straight answer in the first session.
AutoRoster is designed for any operation that manages a complex, multi-shift workforce. It is optimised for high-compliance environments — security and guarding in particular — but the engine is industry-agnostic. Whether you run care facilities, logistics networks, facilities management, toll operations or protective services, the underlying problem is identical: matching qualified people to fluctuating demand while holding cost and labour compliance.
Yes. The compliance engine is fully configurable: define BCEA rules, the sectoral determination that applies to you, bargaining council agreements or your own internal agreements. Pay is calculated from verified attendance against those rules — ordinary hours, daily or weekly overtime thresholds, weekend and public-holiday multipliers, shift differentials and the interactions between them. Because it is configurable per company, branch or cost centre, it aligns with the exact rules governing your workforce.
Yes. Every employee profile holds certifications, licensing or grade tiers such as PSIRA, training records and renewal dates. Roles or sites can require a minimum qualification, and the engine will not place anyone who does not meet it or whose registration has lapsed. Upcoming expiries are flagged well ahead of time, so renewals happen before service or an audit is affected.
A supervisor photographs and uploads the signed register. AutoRoster reads it, reconciles each line against the planned roster for that site and date, logs the compliant shifts automatically, and raises any discrepancy as an exception for management to resolve. The same pipeline handles biometric terminal exports, mobile check-ins and supervisor messages, so sites keep their current workflows.
Site- and contract-level gross margin forecasting. For every site, the system takes actual labour cost to date, adds the forward roster, and simulates the month-end close — measured continuously against contracted revenue. Finance and operations see margin trends mid-month, with enough runway to adjust deployment before payroll locks the cost in.
Yes. We extract directly from mainstream industry systems and import your employees, sites, shift rotations, pay configurations and complete attendance history — nothing truncated or altered. You launch with your records intact rather than rebuilding in a blank system. Spreadsheets and in-house databases follow the same process.
Audited hours, calculated gross earnings and structured deductions export in your payroll’s native format — including Sage, VIP, PaySpace and Pastel, standard bureau layouts and generic CSV. Operational deductions such as uniform, equipment or advance recoveries can be recorded against the right employee and included in the export. AutoRoster is deliberately not a tax ledger: it is the field-data and compliance engine that hands clean, payroll-ready figures over.
Data is hosted in South Africa in enterprise-grade cloud facilities to meet data sovereignty requirements. Each company’s records are logically isolated from every other company’s, access is governed by role, and every change is recorded in an audit log. We collect only the personal and operational data needed to produce compliant rosters and accurate pay, in line with POPIA, and we are happy to take your information officer or IT auditors through the detail.
From small teams to networks of thousands across multiple branches. The engine is built for the multi-site, multi-shift case — the point at which spreadsheets and manual planning inevitably break down.
A predictable subscription based on active monthly headcount, with volume pricing as you grow, on annual or rolling monthly terms. Onboarding depends on where you are coming from: a spreadsheet operation is typically live within two weeks; migrating from an existing database takes a little longer, purely to run parallel verification with your finance team before go-live. Request a demo and we will give you a firm quote against your own headcount.
